Donor Policy
1. Our Commitment to Donors
CKP Foundation, Inc. (“the Foundation,” “we,” “us”) exists because donors, sponsors, and partner organizations trust us with their support. This policy explains what information we collect from donors, how we use and protect it, and the choices donors have. It applies to gifts made online, by mail, in person, or through a sponsorship agreement.
This policy supplements, and does not replace, the Foundation's Conflict of Interest Policy and its Scholarship & In-Kind Access Policy, both of which govern how funds are used once received.
2. Information We Collect
Depending on how a donor chooses to give, we may collect:
Name, mailing address, email address, and phone number
Payment information processed through our donation platform (Givebutter) — the Foundation itself does not store credit card numbers
Employer name, for donors participating in employer matching-gift programs
Sponsorship details, such as company name, logo, and designated contact, for organizations sponsoring a session or season
In-kind gift descriptions (goods or services donated), without an assigned dollar value, consistent with IRS guidance on acknowledging non-cash gifts
We only collect what a donor or sponsor voluntarily provides through our donation platform, a signed sponsorship agreement, or direct correspondence.
3. How We Use Donor Information
We use donor information to:
Send tax acknowledgment letters and receipts
Communicate program updates, impact stories, and funding needs
Recognize sponsors and donors consistent with the terms of their gift or sponsorship agreement
Process employer matching-gift requests
Maintain accurate financial and board records
We do not use donor information to make decisions about who receives program access or scholarships. Those decisions follow the Foundation's separate, published eligibility criteria.
4. Communication Preferences
Donors may choose how they hear from us. At any time, a donor may:
Opt out of email, mail, or phone communications
Ask to be moved to a “do not contact” list
Request that a gift be listed as anonymous in any public acknowledgment
We comply with the CAN-SPAM Act for all email communications, including a working unsubscribe link in every message. Requests to opt out or unsubscribe are honored promptly and recorded in our donor records.
5. Recognition & Anonymity
With a donor's permission, we may recognize gifts above a threshold set by the Board in an annual report, on our website, or in program materials. Donors may request anonymous treatment at any time, and we will honor that request going forward; we cannot retroactively un-publish acknowledgments already distributed.
6. Storage & Security of Donor Information
Donor and sponsor records are kept in a limited-access system (our donation platform and Google Workspace account), accessible only to the Foundation's officers and, where relevant, the Treasurer. We do not store full payment card numbers; those are handled directly by our PCI-compliant donation processor.
7. Sharing of Information
We do not sell or rent donor information to any third party.
Because CKP Foundation, Inc. is a separate legal entity from CKP Athletics LLC, donor and sponsor information collected by the Foundation is not shared with CKP Athletics LLC for marketing or solicitation purposes. Information may be shared only in the following limited circumstances:
With our donation-processing platform and other vendors, solely to complete the transaction they were engaged to perform
With a partner youth sports organization (such as Valley Basketball Club), only with the donor's or sponsor's consent, to coordinate a specific sponsorship or in-kind arrangement
When required by law, subpoena, or regulatory request, or to protect the rights and safety of the Foundation, its participants, or the public
8. Donor Bill of Rights
CKP Foundation adopts the following principles, adapted from the Donor Bill of Rights originally developed by the Association of Fundraising Professionals and partner organizations. Every donor has the right to:
1. Be informed of the Foundation's mission, how donated funds are used, and our ability to use gifts effectively for their intended purpose.
2. Know the identity of the Foundation's Board of Directors and expect the Board to exercise sound judgment in its oversight duties.
3. Access the Foundation's most recent financial information upon request.
4. Be assured a gift is used for the purpose for which it was given.
5. Receive appropriate acknowledgment and recognition.
6. Expect that information about a donation is handled with confidentiality to the extent provided by law.
7. Expect that any individual representing the Foundation will act professionally.
8. Know whether the person soliciting a gift is a volunteer, staff member, or paid solicitor.
9. Have their name removed from any mailing list the Foundation intends to share, and to be excluded from list exchanges altogether, since the Foundation does not participate in list exchanges.
10. Ask questions when making a gift and receive prompt, honest answers.

10. Changes to This Policy
The Board reviews this policy at least annually. We may revise it as our programs or platforms change; the current version will always be posted at ckpfoundation.org.
